1. Terms and Conditions of Ordering

1.1. These terms apply between the person (hereinafter referred to as the Client) and ARJ OÜ, the owner of the booking environment www.cityapart.ee (hereinafter referred to as the Hotel CityApart booking environment), regarding the legal relationships arising from the purchase of services and products through Hotel CityApart and its booking environment.

1.2. In addition to these terms, the legal relationships arising from the purchase of services and products through the Hotel CityApart booking environment are governed by the laws of the Republic of Estonia.

1.3. Transactions in the booking environment may only be made by a legally capable person who is at least 18 years of age.

1.4. Hotel CityApart does not sell alcohol to clients under 18 years of age. The hotel has the right to request identification to verify the customer’s age and to refuse to fulfill an order for an underage client.

2. Price Information

2.1. All prices are in euros and include VAT as established in the Republic of Estonia.

2.2. Please pay close attention to the selected price information. Prepayment is mandatory for some rates. If you cancel a rate with a prepayment condition, the hotel has the right not to refund the prepaid amount.

2.3. If the room has not been prepaid, payment must be made upon arrival at the hotel in local currency. Payment in the hotel can be made by VISA, MasterCard, EuroCard, Estonian bank debit cards, or cash.

3. Payment Terms for Prepaid Products

3.1. For products requiring prepayment purchased through the Hotel CityApart online booking system, the full price of the selected service must be paid. By making the payment, the client confirms that they have reviewed and accepted all conditions and rules made available by the service provider in the online booking system.

3.2. The payment of the amount specified in the online booking system is made via internet banking transfer based on the Hotel CityApart invoice. Bank transfers can be made from the following banks:

• Estonia: Swedbank, SEB, Nordea, Danske, LHV, and Krediidipank
• Latvia: Swedbank, SEB, Citadele, and Nordea
• Lithuania: SEB and Nordea
• Finland: Nordea, Danske, Pohjola, Ålandsbanken, S-Pankki, and Handelsbanken

4. Ordering and Order Confirmation

4.1. When placing an order, please enter your name, phone number, email address, arrival date, and number of nights in the order system. Your booking is valid only after receiving confirmation from the hotel. For faster confirmation, you can contact the hotel by phone at +372 5333 1911 or by email at info@cityapart.ee.

5. Order Cancellation and Refunds

5.1. Different cancellation and refund terms apply to accommodation and accommodation packages. The conditions for modification, cancellation, and refund are stated in the price description of the selected accommodation and/or package in the booking system. If you cancel a rate with a prepayment condition, the hotel has the right not to refund the prepaid amount.

5.2. To modify your order, please make a new booking and cancel the previous one. When making a new booking, the price and available room category may have changed.

5.3. If you cancel a rate with a prepayment condition, the hotel has the right not to refund the prepaid amount.

5.4. For later cancellations, the hotel may charge a penalty equal to the price of the first night. If the hotel has incurred any expenses related to your order, those must also be reimbursed.

5.5. The confirmation email you receive will specify the exact cancellation deadline, before which all cancellations must be made to avoid cancellation fees.

6. Confidentiality

6.1. Personal data submitted when placing and completing an order in the online booking environment are confidential and will be processed in accordance with the requirements of the Personal Data Protection Act.

6.2. Hotel CityApart will not disclose the client’s personal data to third parties without the client’s consent, except in cases provided by law.

6.3. The personal data processed include information requested from the buyer when placing an order (first and last name, address, phone number, email address).

6.4. The security of payments made through bank links is protected by an SSL security protocol, ensuring that the exchanged information cannot be intercepted or altered by third parties.

7. Hotel’s Obligations to the Guest

7.1. If you have received confirmation of your hotel room reservation but the hotel is unable to provide the booked room, the hotel is obliged to offer you, at no additional cost, a higher room category or a room of the same standard in another hotel.

8. Additional Information About the Hotel

8.1. Arrival and Departure.
Hotel rooms are available from 14:00 on the day of arrival until 12:00 on the day of departure. The room is reserved for you until 18:00 on the day of arrival. Please inform us if you plan to arrive later.

8.2. Smoking Policy.
All our hotel rooms are non-smoking. Smoking is permitted only in designated areas. If a guest violates the non-smoking rule, the hotel reserves the right to charge the guest for related cleaning or damage costs.

8.3. Children Policy.
One child under the age of 6 stays free of charge when using existing beds.

8.4. Pets.
Pets are not allowed.

8.5. Parking.
Our parking area is unattended. Parking is free for hotel guests.

9. Other

9.1. Any disputes arising from the ordering and purchasing of products through the Hotel CityApart online booking environment shall be resolved through negotiations. If an agreement cannot be reached, the client has the right to contact the Consumer Protection and Technical Regulatory Authority to protect their rights. In resolving disputes and issues not covered by these terms, the laws of the Republic of Estonia shall apply.
